PH Cloud Service raises Sven Bech’s entire 100-year business to the cloud

Sven Bech A/S has over 100 years of experience in the landscaping industry. This puts them in a unique position when doing business with customers. On the other hand, it also means that they require good systems that can handle their business.

For example, before using PH Cloud Service to help them implement Business Central, they were responsible for their own on-site servers. Among other things, this limited their ability to keep a record of hours worked, particularly for employees outside the office. It therefore made good sense to switch to Business Central and a cloud solution, with an Office 365 account shared among all employees.

The challenge

Before Business Central was implemented at Sven Bech and their systems moved to the cloud, they were struggling with an on-premise solution, requiring them to maintain their own servers. It was an unsustainable solution in many ways, but especially because it made it difficult for employees outside the office to record and administer their hours. It was not uncommon for timesheets to get lost and disappear.

In other words, they had an older, static system. It was heavy, difficult to manage and, above all, expensive. It also required users to be sitting in the office to work with it. 

The objective was clear: a solution that would make it easier to use and log in to the system from anywhere, at any time of day. As well as this, it would clearly be beneficial to stop the use of the on-premise servers and the need to maintain them.

As with any update, however, new challenges arose on the way to finding the solution. Not only did all the data need to be migrated securely and correctly, but also a long list of other Microsoft products and solutions had to be implemented and/or upgraded. Business Central has got it covered.

Sven Bech’s management did have some reservations about Business Central, namely that for Sven Bech it was important that it would be user-friendly. It was therefore also important for employees to be instructed and trained in how to use the software and systems they would be working with daily – not just to make sure they could use them correctly, but also to keep them from feeling overwhelmed and falling back into old habits.

The solution

The cloud. Moving their entire system to the cloud was not itself a solution – but it was a starting point from which PH Cloud Service, which has been working with Sven Bech for many years, was able to provide advice and develop a solution that covered all their needs.

That is how any collaboration begins for PH Cloud Service. Whether it is the first or the twentieth product they have made for the customer, the first item on the agenda is always to have discussions with the customer about their challenges and how best to resolve them.

The whole idea of Business Central also arose as a result of a previous collaboration between the two companies, in which PH Cloud Service helped Sven Bech to improve their IT infrastructure. When their payroll system proved too old to move to the cloud, they started to think about the benefits of Business Central.

The end result

The entire project took about three months, during two to three weeks of which Sven Bech played an active role in the process. The rest was handled by PH Cloud Service, and they are very satisfied with the solution.

In the first phase, PH Cloud Service primarily acted as an advisor, where, in collaboration with Sven Bech, they took a dive into the specific issue and the possibilities that were available. This included everything from technical advice to visualizing the individual parts of the project and providing training on how to use the new systems, compile reports and much more.

The implementation of Business Central went smoothly as a result. Sven Bech’s field employees are now able to log in to the system and record their hours whenever and wherever best fits their schedule.

On top of that, they also have all their data together in one place, which helps give management a much better overview of the business.

As well as specializing in Microsoft products, PH Cloud Service also goes the extra mile to support the customer – before, during and, not least, after the solution is implemented.

Many companies in the industry often boast about their tailor-made solutions and customer-specific product packages, but PH Cloud Service prefers to let its actions speak louder than words. IT should be a tool, both for management and for employees, so they put user-friendliness and simplicity first.

Their motto is that they sell solutions, not systems. After all, it is about more than just supplying a system based on the customer’s wishes – it is at least as important to support the customer after the solution has been implemented. That is why PH Cloud Service makes a virtue of standing at the customer’s side the whole way, from needs analysis to installation and training in the systems.
